Work Location/Address:The job shall be performed at the location directed by the employer. The assigned work location for this position is Maryland Judiciary AOC, Facilities Administration 445 Defense Highway, Suite L Annapolis, MD 21401. The incumbent is required to report to work at that location pursuant to their work schedule unless allowed or directed to work at a different location for job-related reasons, at the sole discretion and authority of the Judiciary. Such alternate locations may include, but not be limited to: any court location or Judiciary facility within the state; any non-Judiciary facility, either within or outside the state, at which the incumbent is required to attend a conference, meeting, proceeding, training, or for other reasons; or, if allowed to telework by the Judiciary, an approved remote telework site.

 

Purpose of the role: This position is responsible for ensuring all phases of an asset's lifecycle, from acquisition through retirement, are properly documented and maintained. Performs specialized fixed asset and inventory control work and significant responsibilities for the maintenance of specialized automated records and generation of reports and audit data for the Judiciary-wide fixed asset control program. Provides clear accounts of fixed assets on a detailed level which includes obtaining facility, PO details and vendor information from a variety of sources.  Accurately processes, electronically transfers or disposes, and reconciles assets using the fixed assets and Judiciary financial systems. Gathers supporting documentation for asset electronic disposals and transfers.  Maintains all fixed asset documentation for research and reference and maintains all storage records for fixed assets archiving and retrieval. Prepares fixed asset and financial reports on a daily, weekly, monthly, and yearly basis. Reviews daily reports and reconciles data between the scanner and the fixed asset module and investigates and corrects discrepancies in the appropriate systems. Works on multiple projects concurrently and within time constraints. Gathers, maintains, and performs varied and specialized assets inventory control work of various levels of difficulty. Interfaces with Judiciary personnel, including Judges, Clerks of Court, State Court Administrator, Assistant State Court Administrators, Directors, and other court-related personnel through oral and written communications. Completes other miscellaneous duties as assigned related to the recording, inventory control, and maintenance of Judiciary fixed asset records.

**Frequent travel throughout the State of Maryland is necessary to barcode fixed assets and perform regularly scheduled and impromptu inventories. 

Education: High School Diploma or GED. 

Experience: Two (2) years of clerical work experience using Microsoft Office applications and databases to include one (1) year experience in physical inventory, fixed assets, or warehouse assistance.

Knowledge, Skills & Abilities:

  • Knowledge of inventory methods, equipment, and terminology.
  • Knowledge of fixed asset methods, record keeping, and financial processes.
  • Knowledge of the fundamentals of work organization, scheduling, process development, and data/quality control.
  • Knowledge of a proficient level in the use of Microsoft Office products to include, but not limited to, Word and Excel.
  • Knowledge of the use of a personal computer, spreadsheets, and specialized database software applications for input, manipulation, and output of data with efficiency and accuracy.
  • Knowledge of modern office equipment, computer, warehouse, and receiving terminology.
  • Skill in the use of barcode scanners.
  • Skill in making accurate mathematical calculations using addition, subtraction, multiplication, or division.
  • Ability to prioritize workflow processes, daily tasks, meet deadlines, comply with standards, and organize inventory operations at court locations.
  • Ability to communicate effectively and demonstrate poise, tact, and good judgement with all levels of Judiciary personnel and outside vendors including difficult customer service requests or problems.
